Taking payments for events

Set prices for competitions, trips and other events, let members book and pay online or in instalments, and keep track of who has paid.

Event bookings and payments

Each event can have its own booking and payment settings. You choose what members can book, how much it costs, and whether they can pay in parts. Members then book and pay from the event page on the website or in the app.

Online payments need Stripe

Members can only pay by card once your band's Stripe setup shows Ready. You can still record cash and bank transfer payments without it.

Step 1

Open the event's Payments tab

Open the event from your organisation's events and choose the Payments tab. You need permission to manage events to see it.

Step 2

Set the price

Set a single full price, or create separate choices such as travel, hotel and extras so members only pay for what they need.

Step 3

Decide how members can pay

Choose whether members must pay in full or can pay in instalments, and set any deadlines. Open bookings when you are ready for members to see them.

Step 4

Adjust individual members if needed

You can adjust an individual member's price, for example for a discount, and record payments made outside PipeBandHQ.

What members see

On the event's Overview, members see their booking, what they have paid and what is still due. They can pay the balance, or an instalment where allowed, by card.

Paid in full

The booking shows as paid and nothing more is due.

Part paid

Some has been paid and a balance remains. Members can pay the rest later.

Refund needed

The booking was cancelled or reduced after payment. The band needs to refund the member.

Refunded

The band has refunded the member and marked it in PipeBandHQ.

Before opening bookings

Check the prices and what is included in each choice.

Check any payment deadlines.

Make sure your band's Stripe setup shows Ready if you want members to pay online.

Tell members the event is open for booking, for example with an announcement.

Cancelling an event

If an event that has taken payments will not go ahead, cancel it rather than deleting it. PipeBandHQ will not let you delete an event or bus that has payments recorded, so the payment history is always kept.
