Learn how to organise and share your band's music, documents and other important files through PipeBandHQ.

Keep important files in one place

PipeBandHQ gives your organisation a central place to store music and important documents so members do not need to search through message groups, emails or old file links.

Use clear file names

A file called "MSR - Marches - Current.pdf" is much easier for members to identify than a file called "scan123.pdf".

Step 1

Choose what you are adding

Decide whether the file belongs in your organisation's music library or documents area.

Step 2

Upload the file

Select the file you want to add and give it a clear name so members can recognise it easily.

Step 3

Organise it correctly

Place music and documents in the appropriate area so members can find what they need without searching through unrelated files.

Step 4

Check member access

Make sure the file is available to the correct organisation or band members before relying on it for rehearsals or events.

Use the music area for files your members need for learning and rehearsing your band's repertoire.

Keep music easy to identify

Use tune names, sets or other clear descriptions when adding files.

Remove outdated versions

If an arrangement changes, make sure members are using the current version rather than an older copy.

Documents

The documents area can be used for important organisation files that members may need to refer to.

Band information

Store useful organisation information and member documents in a consistent place.

Important reference files

Keep files members may need throughout the season available without repeatedly sending them out.

Who can access files?

Music and documents belong to the organisation that uploaded them. Members must have the appropriate organisation access to view private organisation files.

Access ends when organisation membership ends

If a member leaves an organisation and their membership is removed, they should no longer have access to that organisation's private music or documents.

File management checklist

Give every file a clear and recognisable name.

Put music and documents in the correct area.

Replace or remove files that are no longer current.

Check that organisation access is kept up to date.
